Mission description
Objectives:
manage the data entry and file operations within the Sea Freight department. This role involves ensuring the accuracy and efficiency of data entry processes, maintaining organized and accessible file systems, and supporting the operations team with advanced administrative tasks.
1. File Management:
• Oversee the opening and tracking of files in the system.
• Ensure all sea freight files are filled and organized with proper archiving.
• Manage the collection and organization of documents from customers, Port Sudan team, and Soba clearance.
2. Data Entry:
• Supervise the data entry process to ensure accuracy and timeliness.
• Prepare purchase orders and payments for transporters.
• Assist in invoicing and ensure all financial records are accurately maintained.
3. Coordination and Communication:
• Liaise with transporters to get daily updates and ensure smooth operations.
• Follow up with Port Sudan and Soba clearers to ensure timely clearance of goods.
• Communicate effectively with customers and internal teams to resolve any issues.
4. Administrative Support:
• Assist in the preparation of reports and presentations for management.
• Support the operations team with any additional tasks as assigned by management.
• Ensure compliance with company policies and procedures.
