Job description

 Job Title 

GENERALIST HR
Human Resource Administrator M/F

Mission Description                      

Ensure the integrity, accuracy, and timeliness of all HR processes and systems, and provide operational support across the employee lifecycle.

Job Function:

1. HRIS Management
• Maintain accurate and up-to-date employee data in HRIS such as SESAME, SAGE/ESS, and A'Community.
• Reconcile data discrepancies between internal systems and Payroll or other source documents.
• Support staff in the usage of the Employee Self Service system and liaise with IT for troubleshooting.

2. Recruitment Support
• Draft and publish job adverts in line with approved requisitions.
• Screen CVs and shortlist candidates against job requirements.
• With support from the HR Assistant, coordinate interview logistics and candidate communication.
• In Coordination with HR Manager, prepare job offers, contracts, and onboarding documents.

3. Onboarding & Offboarding
• Facilitate onboarding through internal systems such as A'Community and HR orientation sessions.
• Coordinate with IT/Facilities to arrange laptops, phones, and office access.
• Track probation periods and gather feedback from managers.
• Conduct exit interviews and manage clearance/return of assets.

4. Data Integrity & Reporting
• Maintain complete employee personnel files (contracts, IDs, appraisals).
• Coordinate with the HR Manager to ensure accurate monthly payroll data inputs such as staff names, ID, benefits, allowances in compliance with internal policies and procedures.
• Prepare monthly HR reports and share with HR Manager.
• Support audits with accurate and up-to-date employee records.

5. Leave Management
• Enforce consistent use of SAGE/ESS for leave applications and approvals.
• Reconcile manual submissions with system records for accuracy.
• Provide managers with updated leave balances and forecasts.
• Any other tasks as requested by supervisor.

 

Profile


• Bachelor's degree in human resources, Business Administration, or a related field (Master's degree or HR certification is a plus).
• Minimum of 2-3 years of progressive HR management experience.
• Previous experience working in multinational or cross-cultural environments.
• Experience with labour law compliance, employee relations, performance management, and talent development.
• Excellent interpersonal skills.
• Proven ability to implement and manage HR processes and systems effectively.
• Strong problem-solving and conflict resolution skills.

RULES AND REGULATIONS
- Ensure all work is carried out in accordance with the departmental and company procedure manual, as well as the Rwanda Labour Law No. 66/2018 of 30 August 2018 and other relevant labour laws.
- Ensure a clear understanding of the Rules and Regulations of all statutory bodies, including the Rwanda Ministry of Labour, the Occupational Safety, Health and Welfare Act, and any industry-specific regulations.
- Ensure that the Africa Global Logistics Principles are adhered to in alignment with Rwandan legal and ethical standards.
- Be fully aware of and comply with all current responsibilities and requirements under the Rwanda Labour Law No. 66/2018 of 30 August 2018 ,the Occupational Safety, Health and Welfare Act, and any other relevant legislation to maintain a safe and legally compliant workplace.
- Report all hazards, incidents, and injuries in accordance with Rwanda's labour legislation and company reporting procedures to promote workplace health and safety.
- Participate in workplace improvement programs and assessments to enhance the Integrated Management System (IMS) in compliance with Rwanda's health and safety standards
