Mission Description
Job Purpose:
To provide accurate clerical and administrative support to the maintenance function by maintaining asset and work order information, coordinating job card documentation, updating the Maximo asset management system and producing planning reports that support safe, efficient and reliable equipment maintenance. The position ensures that parts and supplies are properly inventoried and catalogued and supports the maintenance planner.
Key Responsibilities:
• Lead by example through compliance with the company purpose and values.
• Download Preventative Maintenance (PMs) work orders from MAXIMO on a weekly basis.
• Sort and distribute PMs on a daily and weekly basis.
• Compile and distribute PMs and Job Plans as requested.
• Receive completed work orders and capture/complete these in MAXIMO, and
• ensure data is completed accurately.
• Create service requests as requested.
• Generate reports from MAXIMO as required.
• Assist maintenance supervisors and planner with work order tracking and required information for planned work.
• Attend meetings within the work management process as needed, record actions and distribute approved schedules
• Capture all data relating to maintenance and maintenance system, ensuring data is loaded timeously, accurately, and as per requirements.
• Ensure all documents are filed (electronically and manually) to a high standard and correctly.
• Record work order compliance in accordance with standards.
• Compile weekly and monthly reports on backlog, schedule compliance, outstanding job cards, planned work and maintenance performance.
• Maintain orderly electronic and hard copy filling systems for maintenances records, OEM manuals, drawings, certificate and reports.
• Assist with purchase requisitions, reservations, service entry documentation and the tracking of maintenance related materials and services.
• Protect the accuracy, confidentiality and traceability of maintenance information and highlight data quality gaps to the planner.
• Provide general administrative duties within the planning section.
• Contribute to continuous improvement within the workflow process of work management.
• Ensure adherence to all Legal, Health, Safety and Environment related standards, practices, policies, procedures, rules and regulations,
• Carries out any lawful instruction and tasks, in accordance with all laid down HSE standards, practices, policies, procedures, rules and regulations.
• Adheres to and maintains work area clean and tidy, in accordance with good housekeeping standards, fit for work conditions.
Profile
Minimum Qualifications
• Grade 12 (Pass) with minimum 23 points is essential
• A certificate in Administration and or maintenance is an added advantage.
• Good planning and organizing skills.
• Good communication skills (both written and verbal).
• Computer literate (Microsoft Office Suite)
• Code B/BE driver's license.
• Valid police certificate of conduct
Experience Requirements:
• A minimum of at least 3 years' related work experience in administration of which 1 year should preferably with exposure in a manufacturing environment, production plant, Mining, HME and trucks maintenance
• Experience working with Computerised Maintenance Management Systems, MAXIMO is an added advantage.
• Good communication skills, excellent health and safety knowledge and awareness
• Ability to work effectively independently with minimal supervision and as part of a team
• Must be willing to work overtime, attend to after-hours requests when required
