Mission Description
The Receptionist serves as the first point of contact for visitors, clients, suppliers, and employees, ensuring a professional and welcoming experience. The role is responsible for managing the reception area, handling incoming calls and correspondence, providing administrative support, and ensuring the efficient operation of front-office activities.
Profile
Key Responsibilities and Accountabilities:
Reception & Customer Service
• Welcome visitors, clients, and suppliers in a professional and friendly manner.
• Direct visitors to the appropriate departments or employees.
• Ensure all visitors sign the visitor register and comply with company security procedures.
• Maintain a clean, organized, and presentable reception area.
• Provide excellent customer service to both internal and external stakeholders.
• Telephone & Communication Management
• Answer, screen, and transfer incoming telephone calls promptly and professionally.
• Take accurate messages and ensure they are delivered to the relevant employees.
• Respond to general enquiries via telephone and email.
• Maintain the company contact directory.
Administrative Support
• Receive, sort, and distribute incoming mail and courier deliveries.
• Prepare outgoing mail and courier packages.
• Assist with filing, scanning, photocopying, and document management.
• Maintain office records and administrative filing systems.
• Assist with scheduling meetings and booking boardrooms.
• Coordinate refreshments for meetings when required.
Office Coordination
• Monitor reception and office supplies and request replenishment when necessary.
• Assist with office access cards, visitor passes, and security procedures.
• Liaise with service providers, couriers, and suppliers.
• Report maintenance or facility issues to the relevant department.
Data Management
• Capture and update information accurately in company systems.
• Maintain confidentiality of company and employee information.
• Ensure administrative records are accurate and up to date.
Compliance
• Adhere to company policies, procedures, and ethical standards.
• Comply with health, safety, and security requirements.
• Maintain confidentiality of sensitive company information.
Minimum Education and Experience Requirements:
• Grade 12 (Matric) or equivalent.
• A certificate or diploma in Office Administration, Business Administration, or a related field will be advantageous
