Mission description
Job Purpose:
To manage the warehouse operations and Facility. This includes but is not limited to dealing with customers, P&L management, Warehouse system management and overall management of Warehouse operations and its staff.
Report to Management
•Communicate with management about operational activity, major anomalies encountered, and service quality operated via regular reports
Budget management:
• Monitor and ensure one-time invoicing
• Manage and ensure profitability of P&L
• Stock take planning and management
• Cycle counting and damages control
RELATIONSHIP MANAGEMENT
Customer Relations Management
•Develop and maintain professional and positive relationships with both internal and external stakeholders through demonstrating an understanding and responsiveness to their needs, culture and differences
•To ensure quality service delivery to all AGL clients is maintained
•Ensure that clients are respected and AGL portrays a professional and friendly image to all clients.
•To liaise between clients and service delivery teams
•Responsible for problem solving and service reporting
•To develop and manage SLA's with constant checks on infrastructure and related support service delivery teams.
Oversee suppliers' relationship
•Host suppliers, clients and outside enterprises
•Oversee the good execution of the contracts related to equipment supply and
participate to negotiation of some purchases (supplies, packings, warehouse supplies)
Manage the warehouse personnel to ensure the best productivity, best quality of work and security of the personnel:
•Lead and motivate the different teams under responsibility
•Performance management of staff and encourage employees to optimize their
outputs. Management of departmental training.
•Oversee the work of the teams concerning loading / unloading, preparation of
orders, storage and shipping making available human and material resources, in
harmony with the workload and contractual requirements
•Ensure security of the personnel and goods associated under responsibility.
Enforce company rules of procedure, the protocol and particularly the rules related to hygiene and security (HSE group policy).
PROCESS MANAGEMENT
• To enhance business efficiencies through the implementation of process excellence initiatives.
• To manage business risks.
• To comply with the Compliance Self-Assessment.
Profile
•Prepare and manage a full P&L. This includes assuming responsibility for the drafting, control and monitoring of the warehouse budget and meeting of agreed objectives
•Support Commercial Department in all presales business including WH or Distribution business
•Accountable for ensuring that SLA's and KPI's are set out, agreed upon and maintained and monitored
•Manage transport costs
•Continuous management of forklift requirements
•Dealing with our Customers to ensure that service and satisfaction remains a top priority to the operation and its people
•Warehouse System management to ensure efficiency and customer satisfaction
•Make sure the security of people and assets are always maintained
•The efficiency of the operation is maintained and monitored through agreed standards. The highest standard of housekeeping is always maintained
•Monitoring each department reporting to warehouse ensuring it is run efficiently as possible. Ensure stock conforms to the required pallet standard is always correctly laid out in the warehouse
•Ensure all stock control procedures are in place. Stock rotation systems are always correctly maintained, and stock counts are done correctly at the required intervals
•Take full control of all bonded cargo and updating of bond store registers
•Ensure that inventory is managed and accurately reflected – maintaining a high level of accuracy
•Maintain, monitor and action daily efficiencies for the department
•Through regular meetings, be aware and act on all needs and requests of the warehouse staff
•Ensuring a well-balanced relationship with employees
•Holding of the relevant meeting and ensure safety is upheld
•Performance appraisals are conducted formally, at least once per annum, with informal discussions on a quarterly basis
•Liaise closely with controllers to ensure correct configurations for loading / packing are confirmed prior to receiving of containers / trucks
•Ensure warehouse documentation is completed accurately, on time and submitted to the controller /coordinator within an acceptable time frame
•Provide tally sheets and manifest for cargo to be loaded in containers to allow the controllers to complete their shipping documentation in an accurate and timely manner
•Confirm daily headcount by section (Check clock cards/ attendance registers)
•Check status on picking and plan accordingly
•Check warehouse for damages and stock to be returned from debrief
•Ensure that agreed picking rates are achieved
•Ensure necessary housekeeping is completed and that all Health & Safety requirements are met
•Management the Hazardous requirements of the Warehouse in line with requirements as per legislation
•Ensure housekeeping is completed in your environment or as per requirements
•Ensure all health and safety and environmental requirements are adhered to, or as per OHS Act and Company rules on site
•6S in environment
•Ensure facility maintenance schedule is adhered to
