Mission description

Job Purpose:

Overseeing and coordinating sea freight imports ensuring that shipments are cleared correctly.

Job Function:

- Receive new order booking from sales representative or customer
- A file to be opened immediately, all correspondence to be printed and kept in
the file. Ensure clearing instruction is in the file
- Loading all purchases and selling's on file
- Get in touch with our office in the origin country, to contact the shipper and
arrange shipment
- Provide our office with the necessary information such as booking
confirmation, contract number, shipper contact detail etc.
- Keep client updated daily on the progress of their shipment/orders. Doing
status reports
- Do all Tracking and tracing of order, ensure pre-alert documents are received
- Once the vessel sails, all documents obtained from booking office and file
handed to the respective controller
- Requesting ANFS/ SOBS from various lines and registering your file
- Requesting Clearing Instruction and all necessary documents from client,
placing documents in customs and following up on final release

- Request Invoices from service providers
- Ensuring your files are invoiced within 24/48hrs from been released from
customs
- Ensure files are profitable, minimizing losses on files
- Arranging transport for deliveries of your shipments, Locally and Long
distance
- Requesting and following up on PODS, ensuring that all drafts and final
closing of file is signed off by your manager
- Advise client of any cost amendments from original Estimate
- Handover all relevant documents to Customs Department for necessary
framing of the Entry
- Liaise with hauliers & shipping lines
- Ensure clients are invoiced in line with what has been agreed, and the costing
is accurate
- Ensure invoices are dispatched regularly and in line with the procedure set
out.
- Ensure supplier invoices are in line with proposed costing on Pegasus and
returned to the Sea freight Manager
- Ensure that clients are invoiced according to the Credit terms set out for their
respective Account i.e. COD and Account clients
- Monitor all third parties on shipments and ensure payments are made
timeously
- Taking responsibility for the files on your desk
- Ensuring all mails are attended to within 24 hours of receiving them
- All queries are attended to within 48 hours of receiving them
- All files that you handle will be filled away by yourself
- To be fully aware of and comply with current responsibilities and requirements of the relevant Acts, Regulations and standard applicable Quality, Health and Safety policies and procedures to maintain a safe workplace
- Report all hazards, incidents, and injuries in accordance with legislation and company reporting procedures
- Participate in programs and assessments to improve IMS system in the workplace
- Any other delegated tasks deemed as reasonable as assigned by the reporting manager

Minimum Education and Experience Requirements:

- Matric
- Minimum 3 years' relevant experience in the Freight Industry
- Computer Literate – MS Office Suite
- Completed Incoterms Certificate – Completed in last 2 years
