Mission Description                      

Job summary:
Overseeing and coordinating sea freight imports and exports shipments.

 

Profile

Job Function:
• Receive documents from client/office and arrange bookings with the relevant shipping lines, network or co-loaders
• A file to be opened immediately, with all correspondence printed & kept on the file throughout the life of the file
• If Imports, provide our office with the booking confirmation, contract number & shipper contact details.
• Maintain strong communication and keep the client updated on a regular basis with vessel sailing details (exports) & arrival details (imports). Supply status reports in line with what is required by the customer.
• Obtain clear shipping instructions (exports) & detailed clearing instructions (imports)
• Obtain ANF's or SOB details from various carriers when registering your shipment.
• Upload all documentation on EDOCS, which include the customers instruction, ANF (for imports), Commercial Invoice, Packing list etc & submit via PEGASUS in order for the customs team to process the clearance of the goods
• Regarding exports, follow up with the client or warehouse regarding packing of the container once shipment is released from customs
• Local handling files, ensure shipments are cleared through customs and follow up with customs on the final release of documents. Ensure bills of lading and cargo dues are done (exports) & cargo dues processed (imports).
• Request invoices from service providers and negotiate the best possible rates. Minimise losses on files.
• Ensuring that 3rd party invoices are checked and billed out correctly.
• All third-party invoices are to be approved & submitted to H/O for processing & payment
• Ensure files are invoiced within 48hrs from date of sailing or arrival
• Ensure all queries are attended to within 48 hours
• Ensure all mails are attended to within 24 hours
• Pre capture file once it is registered
• Arranging transport for deliveries of shipments (imports) or collection of shipments (exports)
• File all documents related to shipments in the physical file & on EDOCS
• Escalating all problems or potential problems to manager

Minimum Requirements:
• Matric
• Freight Forwarding or any relevant qualification
• Incoterm knowledge essential
• Minimum 5 years' relevant experience in the Freight Industry with sea freight imports & exports experience
