INTERNATIONAL FREIGHT FORWARDING OPERATIONS SUPERVISOR (IFFOS) -PETROLEUM M/F

Mission Description                      


Based in Nairobi and reporting to Manager- Seafreight & Road Imports local, the successful applicant will be responsible for the following key result areas: -

1. Manage the Team
1.1 Ensure a smooth transfer of files/issues, Set goals in terms of quality of service. Assess teams performance against set Key performance indicators.
1.2 In charge of annual performance interview with each IFFO including training, mobility & productivity discussions

2. Manage the operational relationship with the Client
2.1 Alert the Client in case of operational issues (potential or real) that have been escalated by the IFF operators.
2.2 Follow up on Consignments and ensure that Clients have been updated on the status

3. Monitor file processing
3.1 Ensure that SOPs are applied at each step of the business process. Monitor all documentation and ensure compliance with the required laws and regulations, ensure tariffs for existing Clients are regularly updated.
3.2 Allocate files to be processed to IFF Operators and assist Operators in case of operational issues.
3.3 Validate the opened file before the process begins (for clients exceeding their credit conditions, escalate for validation)
3.4 Assist Operators and other staff members in case of operational issues
3.5 Ensure that files are regularly archived

4. Ensure that operations are performed with respect to gross margin & disbursements anticipated when quotations have been issued.

5. Control the costs of the IFF Unit-monitor the costs level (in line with budget).

6. Alert/Inform Management
6.1 Alert N+1 in case of significant operational issues (impact on quality of service, invoicing, sensitive client...)
6.2 Inform the Manager and Sales department of all quotations that are non-compliant with IFF goals (gross margin, turnover, feasibility...)
6.3 Identify & work on the issues raised during file processing.
6.4 Prepare monthly KPI reports and submit to the HoD

 

Profile

1. Diploma in Clearing and forwarding.
2. East Africa Freight Forwarding practicing certificate.
3.Three years experience in Clearing and forwarding in a busy logistics environment handling Oil & Gas Clients.
