Mission Description                      

1.) HR Operations & Employee Lifecycle Management
• Coordinate end-to-end employee lifecycle activities: recruitment, onboarding, confirmation, transfers, disciplinary processes, exits, and final dues.
• Ensure all staff have current job descriptions aligned to actual duties.
• Track probation periods and prompt HODs on confirmations, extensions, or terminations.
• Support exit management including clearance coordination and exit interviews.

2.) Recruitment & Onboarding Support
• Coordinate recruitment logistics as approved by Management, including job adverts, shortlisting support, interview scheduling, and reference checks.
• Prepare employment contracts and HR documentation for review and approval.
• Coordinate structured onboarding using the 30/60/90-day framework.
• Ensure induction programs are practical, site-specific, and completed within timelines.
• Coordinate assignment of onboarding buddies in collaboration with HODs.

3.) Payroll & HR Data Support
• Prepare and validate payroll inputs including attendance, overtime, leave data, allowances, and statutory deductions.
• Liaise with HODs to ensure timely submission of payroll-related data.
• Support benefits administration including medical insurance onboarding, updates, and exits.

4.) Employee Relations & Discipline Support
• Act as the first point of contact for routine employee HR queries on policy, contracts, leave, and benefits.
• Support disciplinary and grievance processes through documentation, hearing coordination, and minute taking.
• Ensure disciplinary processes comply with labour law, internal procedures, and fairness standards.
• Escalate complex employee relations matters to the HR Manager with clear facts and documentation.

5.) Training & Capability Development Support.
• Support training needs identification at site level.
• Coordinate logistics for internal and external training programs.
• Maintain training records and attendance registers.
• Support post-training evaluations and documentation.
• Track mandatory and statutory training requirements.

6.) Compliance & Statutory Administration
• Support implementation of HR policies and SOPs at site level.

7.) HR Reporting & Continuous Improvement
• Prepare routine HR operational reports (headcount, attrition, recruitment status, training attendance, disciplinary cases).
• Flag HR operational risks and gaps observed at site level.
• Support HR audits and continuous improvement initiatives.



 

Profile

• Bachelor's Degree in Human Resources or related field.
• CHRP Qualification.
• Minimum of 3 years' hands-on HR operations experience in a unionized or operational environment.
• Working knowledge of Kenyan labor laws and statutory requirements.
