Mission Description
Job Purpose:
Management of all aspects of Import & Export of oil & gas operations, including Inbound/Outbound Customs Clearance and Inbound/ Outbound Releasing
Job Function:
• Primary focus on O&G accounts, quoting, customs communication etc. arranging Framing customs entries.
• Customs knowledge relating to the O&G Industry in Namibia, including permanent and temporary importation of equipment and consumables and how this relates to duties and taxes.
• Handling of Air, Sea, Road, Cross Border Freight for the O&G Industry.
• Releasing of Documents, to Coordinate/Control and motivate the smooth flow of Import & Export cargo from start of submission.
• Ensure compliance with the Customs and Excise rules and Regulations.
• Co-ordinate/control shipment files.
• Co-ordinate de-stuffing, stuffing, transport etc. of cargo.
• Obtain landing/shipping instructions to facilitate & complete the customs clearing process in terms of customer unique SOP requirements.
• Track & trace shipment process to facilitate & co-ordinate the transport readiness to coincide with the vessel discharge and loading operations.
Profile
Job Function:
• Minimize expense to the company & customer on all shipments.
• Quotation, expedite rate request & issue quotations on due date.
• Register to keep track and accurate accounting of RFQ's pending.
• Making sure all loading / offloading equipment is ready prior to Shipping / Arriving of Vessels, making sure transport is in place to deliver into port, preparing all port documents for Shipment of Cargo on behalf of Clients.
• Submitting of Port Documents, prior to vessel arrival or departure, dispersing of documents to all relevant parties
• Ensure documentation is correct, not to have any unnecessary expenses e.g. Port storage or penalties. To be in constant communication with client, international offices staff and management
• Receiving invoices from the client, arranging collection if transport is needed, if so, establishing the correct size of vehicle for cost effective shipment of cargo.
• Framing of Customs Documents relating to the shipment, releasing of documents for the shipment, Forwarding of border documents to client and transporter. As well as sending out pre-alerts to all relevant parties on all the borders, up to destination.
• Expedite rate requests to finalize and issue quotations on due date.
• Register to keep track and accurate account of RFQ's pending.
• Ensuring that all PO's are obtained from clients prior to starting shipments.
• Ensure each clients accounting needs and systems are understood and that timelines are adhered to in order to obtain payment.
Minimum Education and Experience Requirements:
• Grade 12.
• O/A Level Certificate.
• At least 2 years' Clearing & Forwarding Shipping experience.
• Relevant qualification in Logistics.
• Proficiency in Pegasus and Asycuda software systems.
• Accuracy, detail orientation & adherence to deadlines.
• Ability to function independently & within a team.
• Ability to function effectively under pressure.
• Being able to delegate / manage.
• Ability to work under pressure.
• Know and understand client expectations.
• Positive and strong attitude is needed
