Job description

 Job Title 

MANAGEMENT ASSISTANT
PERSONAL ASSISTANT -MD

Mission Description                      

Based in Nairobi and reporting to the Managing Diretor, the selected candidate will be responsible to provide vide administrative support to the Managing Director – Kenya office
1. In liaison with the regional office, proactively organize, liaise and coordinate the travel itinerary and accommodation for the Kenya team and visitors
2. Manage / schedule meetings and co-ordinate appointments effectively and with precision and take minutes as may be required.
3. Collate / collect information from section heads and statistics for regular (weekly, monthly) and ad-hoc meetings.
4. Prepare / update presentations for the meetings based on data received. 5. Manage the MD's diary & Calender
6. Maintain a proper filing system for all documentation
7. Track documents submitted to and from the MDs for approvals.
8. Handle all incoming and outgoing correspondence, including emails, phone calls, and letters.
9. Attend to visitors, clients, customers and staff
10. Ensure proper housekeeping of the MD's office
11. Ensure sensitivity to time management and the need for flexibility as the role and situation demands.
12. Handle sensitive information with discretion and maintain confidentiality.
13. Work independently and prioritize tasks effectively.
14. Any other duties assigned on ad hoc basis.

 

Profile

1. Diploma in Administration
2. Proficiency in Microsoft Excel, Power BI or other presentation tools
3. Meticulous
4. Confidential
5. Confident and presentable
